to send what Ive done in the past is produce a new folder, put Max file and the textures used in the max file in the new folder, and then go threw all of the textures in the materials editor and make sure they read the textures files in the new folder, zip it up and send
or every once in a while I would download a Max file where the model is already textured I would get one Max file and a folder with all the textures in it, so I would put the texture folder in the Maps folder of my 3D studio Max install under program files and then open up 3D Studio Max, go to customize/ configure paths/ external files/ Add/ (find my new texture folder) /Use Path/ and it usually worked
